GFT Medical Secretary, Heart Rhythm Service
PAY BAND: $21.86-$24.22/hour
HOURS OF WORK: 8 Hour Day Shifts
To provide medical secretarial and administrative functions that support patient care, academic teaching and administration within the Department of Medicine for GFT Physicians within the Heart Rhythm Service. This service is responsible for the regional care of cardiology patients with heart rhythm problems. There are 5 Physicians (cardiac electrophysiologists) and 3 fellows in training. The applicant will work within a team of 3 secretaries and responsibilities will include preparation for outpatient clinics at KGH/HDH and peripheral hospitals and the administrative and academic requirements for arrhythmia physicians. The divisional secretary is responsible for the handling of confidential material and office duties in connection with patient care, teaching, administration and research. Within this role the employee is accountable for contributing to the delivery of the Kingston General Hospital strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.
DUTIES AND RESPONSIBILITIES:
Heart Rhythm Service Head General requirements (specific duties to be determined between the 3 secretaries) include scheduling, preparing, typing and distributing agendas for meetings; maintaining Queen’s research accounts; acting as liaison with research staff, graduate and undergraduate students. General Administration includes maintaining confidential administrative files, typing and distributing minutes, letters and reports and coordinating and organizing monthly schedules for HRS physicians. Patient Care requirements include telephone reception for patients, referring physicians, procedure screening, scheduling clinic and office appointments at both HDH and KGH and peripheral clinics; liaising with booking office to schedule patient procedures and completion of appropriate requisitions, and transfer patient letters into the Patient Care System. We are looking for graduates of the Medical Office Administration Diploma (2 year college diploma) or equivalent combination of education and experience with a minimum of 3 years medical administrative/secretarial experience within an academic setting including proficiency with medical terminology and dictatyping. Candidates must have experience working with an automated patient care setting; extensive knowledge of administrative/organizational skills to ensure efficient running of two physician offices and knowledge of medical school structure, operations and programs. Invited candidates will be tested on keyboarding (55wpm), Windows, Microsoft Word (Level 2). Candidates must demonstrate the abiity to independently prioritize work and problem solve and possess excellent communication and interpersonal skills in order to interact professionally with patients, physicians, and allied health professionals.
